Contest Rules and Submission Guidelines

Contest rules are also available as a PDF.  Links to the entry form and sample release forms are provided below, but you will also find the forms here.

Term:

The Cochise County Library District “Beauty of Cochise County” Photo Contest begins March 15, 2020, and ends April 15, 2020, at 6:00 pm Mountain Standard Time.  By submitting an entry, each contestant agrees to the rules of the contest and states that he or she is 18 years old or older.

Who may enter:

The Photo Contest is open to photographers who live in Cochise County, Arizona, and who are 18 years old or older.

Paid employees of public libraries in Cochise County, and their immediate family and household members, are not eligible to enter.  Library volunteers, Friends, and trustees are eligible to participate on the same terms as the general public.

What to enter:

To be eligible for consideration, a photograph must have been shot by the entrant since January 1, 2016. The photograph must have been taken in Cochise County, Arizona.  The contestant certifies that he/she is the sole creator and copyright owner of the submitted photograph.

Cropped photos are eligible for consideration. Minor adjustments, including the removal of sensor dust or scratches on scans of negatives, dodging and burning, sharpening, contrast, toning, and slight color adjustment and conversion to grayscale are acceptable.   HDR or composite photos are acceptable if they have a realistic appearance.

The focus of the contest is the natural beauty of Cochise County, rather than people or manmade objects.  However, people, animals, or buildings may be included.

For a photo in which a person is recognizable, you must be prepared to provide a model release from the subject or, in the case of a minor, the subject’s parent or guardian, to the Cochise County Library District upon request. A SAMPLE MODEL RELEASE IS AVAILABLE HERE.

Entrants whose photos include recognizable private property, including buildings, must be prepared to provide a release from the property owner.  A SAMPLE PROPERTY RELEASE IS AVAILABLE HERE.

Similarly, entrants whose photos depict other people’s work (such as sculptures, statues, paintings, and other copyrightable works) must be prepared to provide a release from the rights holder to the Library District upon request. When photographing the work of others, it must be as an object in its environment and not a full-frame close-up of another person's creation. A SAMPLE ART RELEASE IS AVAILABLE HERE.

If the entrant is unable to provide all required releases, the Library District in its sole discretion reserves the right to disqualify the submission, seek to secure the required releases, or permit the submission to remain in the contest.

Photos that violate or infringe upon another person's rights, including but not limited to copyright, are not eligible.

Photos that contain sexually explicit, nude, obscene, violent or other objectionable or inappropriate content, as determined by the Library District in its sole discretion, are not eligible.

How to enter:

Please submit photographs and entry forms via email at CochiseLibraryPhotos@gmail.com. You may submit up to three (3) photographs for consideration.

Photographs must be submitted in .jpeg, .jpg or .gif format, at least 2,000 pixels wide and no larger than 10 MB. You must complete a separate entry form for each photo submitted.  THE ENTRY FORM IS AVAILABLE HERE.

We do not accept photographs submitted through the mail and do not accept more than one contestant per e-mail address. High-quality scans of non-digital photographs are acceptable. Digital photographs should be taken at the highest resolution possible.

While there are no specific camera requirements, high-resolution photographs of at least 300 dpi at 3,000 pixels on the longest side are strongly preferred.

You retain your rights to your photograph; however, by entering the contest, you grant the Cochise County Library District a royalty-free, world-wide, perpetual, non-exclusive license to publicly display, distribute, reproduce and create derivative works of the entries, in whole or in part, in any media now existing or later developed, for any purpose, including, but not limited to, advertising and promotion of the Library District and its website.  Any photograph reproduced will include a photographer credit as feasible. The Library District will not be required to pay any additional consideration or seek any additional approval in connection with such uses.

Entry deadline:

The contest begins on March 15, 2020. All entries must be received by 6:00 pm Mountain Standard Time on April 15, 2020.

Judging:

Photo entries will be judged based on creativity, quality, originality, appropriateness for the purpose of the contest (appearing on a library card), and overall impact.

The Library District will select at least one winning photo which will appear on a new library card.  The winning photo or photos will be announced after April 21, 2020, and may appear on the Library District or Cochise County website.  The winning photo or photos may also appear on print or other promotional materials.

The Library District will notify the winner or winners via the contact information provided at the time of entry; the Library District may disqualify anyone who fails to respond to the notification within five business days.

Please do not contact us about the status of entries or judging.

Prizes:

The purpose of this contest is to create a new library card for use at Cochise County libraries.  No cash prizes will be awarded.

The winning photo or photos will be featured on a new library card design.  The winning photographer or photographers will receive a framed photograph and certificate of achievement.

Online Features:

The Cochise County Library District may select photos entered in the contest for highlight on its website or display in a publicly accessible contest archive. Such selections will be made in the Library District’s sole discretion.
